What Do the Request Statuses Mean in Docnote?

Learn what each request status means in Docnote — from Pending Verification through to Completed — so your team can manage requests with confidence.

Every request in Docnote moves through a series of statuses that reflect where it is in the workflow. Understanding each status helps your team stay organized and ensures patients are kept informed at every stage.


🚩 Urgent

A request marked as Urgent has been flagged by the office to indicate it requires priority attention. Only the office can mark a request as urgent by selecting the "Flag Request as Urgent" button on the request. Once the urgent matter has been addressed, the office can uncheck the flag to remove the urgent status.


🔵 Pending Verification

This is the first status assigned to every request. It is applied automatically when a patient submits a request or when the office creates one on behalf of a patient. The request remains in Pending Verification until the office has completed the verification task list. Once verified, the office can move the request to the next appropriate status.


🟠 In Progress

The office is actively working on the request. Setting a request to In Progress signals to the patient that their request is being handled.

💡 Note: While a request is In Progress, the patient can still make a payment if one is required — the two actions do not need to happen in a specific order.


🔴 Pending Payment

Payment is still required before the request can be completed. This may apply to the patient directly or to a third party such as an insurance company or employer. The request will remain in this status until payment has been received.


🟢 Completed

The request is fully complete. Payment has been received and all forms or documents have been sent to the appropriate person or third party. A final document will be attached to the request if applicable.
