Request Types and Their Functions in Docnote

Learn about the seven request types in Docnote — from Quick Forms to WSIB Requests — and when to use each one for your office workflow.

Docnote supports several request types, each designed for a specific workflow. Understanding which request type to use ensures requests are routed correctly, payments are handled appropriately, and the right people are notified.


1. Quick Forms

Quick Forms are used for simple, straightforward requests such as sick notes or physiotherapy forms. The form is completed by the office and released automatically to the patient's Docnote account once payment is made. No ongoing status management is required.

  • Best for: simple, pre-completed forms

2. Standard Requests

Standard Requests are the most flexible option and are used for requests that require more coordination. They can be sent to the patient, a third party, or both. The office manages the status manually and decides whether payment is required before or after completion.

💡 When a patient submits a request through their Docnote account, it is always treated as a Standard Request.

  • Status must be updated manually unless auto-send is enabled
  • Best for: complex requests requiring follow-up or staged completion

3. Third-Party Requests

Third-Party Requests are strictly between the office and an external organization such as a law firm or insurance company. The patient is not involved and does not receive any notifications. The patient is also not required to have a Docnote account.

  • Involves third parties only (e.g. lawyers, insurance companies)
  • Payment is received by the office and logged internally
  • Best for: requests initiated and managed entirely by the office

4. Prescription Refill Requests

Prescription Refill Requests involve the office, the patient, and the pharmacy. The office uploads the completed approved prescription. Once the patient makes payment, the prescription is automatically sent to the pharmacy.

  • Prescription is auto-released to the pharmacy after payment
  • Best for: prescription refills requiring payment before release

5. Docnote Debit Requests

Docnote Debit Requests are used for direct office-to-patient billing for in-office procedures or services — such as uninsured vaccinations or surgical treatments not covered by OHIP. A related document can be auto-released to the patient after payment, or no document may be required at all. Patients are not required to have a Docnote account to complete a Docnote Debit transaction.

  • Involves the patient only
  • Document release after payment is optional
  • Best for: quick payment for in-office procedures before or after an appointment

6. WSIB Requests

WSIB Requests are transmitted strictly between the office and WSIB. The office submits an invoice and completed form to WSIB, payment is returned to the office, and the transaction is recorded internally. Patients do not receive notifications by default, although the office has the option to copy the patient if needed.

  • Involves WSIB only by default
  • Payment is received by the office and recorded internally
  • Best for: workplace injury documentation and WSIB billing

7. Service Canada Requests

Service Canada Requests follow the same structure as third-party requests. Communication occurs solely between the office and Service Canada. An invoice is generated, submitted to Service Canada, payment is returned to the office, and the transaction is recorded internally with no patient involvement.

  • Payment is received by the office and recorded internally
  • Best for: Service Canada forms and billing

⚠️ Important: Most actions in Docnote can be undone — the exception is cancelling a request. If a request is cancelled, anything already submitted to the patient or third party will be removed from their account. If you forgot to include a patient or third party, you can add them after the fact and resubmit.
